It is that time of year again when we, the COFAX committee ask you to submit
your facilities for the annual COFAX awards. All submissions must be
provided in digital format and submitted via email to cofax@ifma-pikespeak.org.
Below are the instructions for making your submission. Submission
deadline is March 16, 2012.

COFAX SUBMISSION INSTRUCTIONS
The following procedures are required for each entry. Please read each section very carefully. Failure to comply
with any procedure will result in disqualification of the entry.

Standards:
- Only one project per email is permitted
- Do not put multiple entries in one email even if they are from the same project
- All information requested must be provided for each entry unless indicated as optional
- Email attachments cannot exceed 10MB. Multiple emails for the same submission will not be accepted.

Project Category:

Please choose the appropriate category for your project from the following list:
- Environmental Impact/Resource Conservation – Construction, renovation or operational project to reduce negative impact on the environment and/or conserve resources.
- Adaptive Re-Use – A significant design change that successfully converts a space to a current need (i.e. re-use, different use, or new purpose).
- Leading Edge Elements – An installation utilizing and integrating technologies and innovative concepts that significantly enhance the mission of the organization (i.e. CAFM, BAS, Lighting Controls, Security, etc).
- Best Facilities Practice - A significant design change or operational improvement that supports the mission of the organization and/or significantly reduces operational expenses.
- Great Building Solution – A change that solves a significant problem or improves the building’s use to support the mission of the organization (i.e. electrical, roofing, mechanical, landscaping, etc).
- Exceptional Existing Building – (Certificate of Occupancy before 1/2009) – A facility that, after a period
of time and use, continues to be an example of exceptional design and/or
operation. A pattern of continual improvements to meet the organizational
needs
- Exceptional New Building – (Certificate of Occupancy after 1/2009) – A facility that exceeds in design
and includes leading edge technology and operational features
- Only one category may be selected for each project.
- Please put the selected category name (i.e. "Adaptive Re-Use") in the subject line of your email.

Project Description Statement:
- Provide a one page double spaced, physical description of the project.
- Do not use your name, the name of the firm, project name, or client in this statement.
- Provide the completion date of the project in your statement.
- Entitle your file “Project Description Statement”
- Attatch to email in either Microsoft Word or Adobe PDF format.
A good application provides a description of the project or change along with supporting information. Supporting information
may include data such as “a 12% reduction in trash by pound”: “15% more employees have natural light in their work space”;
“faster response time to customers”. Supporting information may also include pictures, testimonials, etc.

Materials Formatted:
- Provide all materials in electronic PDF format. These may consist of site plans, floor plans, organizational charts or
graphs, important illustrations to describe the project, annual reports or brochures.
- Please provide all materials reduced to be legible on a 1024 x 768 screen or printed at 8-1/2 x 11 sheet of paper.

Photography:
- There should be no more than 10 photographs in this section. Digital images in jpg format are acceptable.
- Subject matter of the photos is entrant’s choice that best describes the project.
- Make certain no photos reveal the identity of entrant.

Concealed Identification and Release Forms:
- All information the Concealed Identification and Release Form must be provided.
- Any errors or omissions will be the responsibility of the entrant.
- Information for publicity purposes will be taken from this form. The Entrant for exhibition
and publication purposes must clear all photographs if professionally done.
- Attach completed forms to email submission.
- Entrants may also include logo of company submitting the project.

Judging:
- Jury – The Awards Committee will select a jury of nonpartisan facility professionals. The judging will be
based Verbal Description, Economic Impact, use of Practices, Raises the Standards for Facility Practices,
Benefit to Occupants, Significant Changes, Functionality of Project, First Impressions, Strength of Concept,
and Quality of Execution. The jury will have the right to withhold an award, if, in their opinion,
submissions do not meet the criteria, as outlined above.
- Award Presentation – Presentation of the awards will be announced at
the Tenth Annual COFAX banquet. All entrants will receive
an invitation indicating time, location, and cost.

Submit:
- Early bird submissions must be received by February 29, 2012
to receive the reduced entry fee. All other submissions must be received
by the Pikes Peak IFMA COFAX Committee at cofax@ifma-pikespeak.org no
later than March 16, 2012.
- It is your responsibility to make sure that your entries reach the Committee by the deadline.

Entry Fees:
- Early bird entry fee of $25 must be received by February
29, 2012. March 1 – 16th the entry fee will be $40.
- Entry Fees may be paid online, or via check payable to Pikes Peak Chapter IFMA at P.O. Box 1573, Colorado Springs, CO 80901..
- Entry fees will not be refunded.
- Any submission that does not have a valid entry fee will be disqualified.
